How we calculate // ABC + NPV methodology

Estimate, not promise.

The calculator uses Activity-Based Costing. For every hour of work we apply the full cost of an employee with social security overhead and supporting costs (multiplier 1.5 on gross salary). We do not assume 100% automation of repetitive tasks; typical implementation effect is 60-90% of theoretical potential, hence the lower and upper bands in the result.

Payback period is calculated for two AiP Audit variants (Express Start-up and Growth) based on published net prices. Enterprise is priced individually, because the real cost depends on branch count, integration complexity, and Change Management program scope.

  1. 01 · Full labor cost

    Gross salary x 1.28 (social security overhead) / 168 hours per month = full hourly labor cost. Without this multiplier, the calculator would underestimate losses by ~28% — because you pay not only gross salary, but also employer social contributions, leave, sick days, and benefits.

  2. 02 · Hours recovered annually

    Employees x weekly hours on routine x 48 working weeks x 0.7 (manual-work elimination coefficient). 48 weeks, not 52 — to account for leave and holidays. 0.7 — because we do not eliminate 100% of routine, only its repetitive part.

  3. 03 · Savings from error elimination

    Monthly documents x 12 x error rate (%) = annual error count. x 150 PLN (average cost to handle one error — rework + downstream) x 0.7 (implementation effect). Conservative, because the real cost of correcting an error at end of process can exceed 150 PLN — especially in finance and compliance.

  4. 04 · 3-year NPV

    r = 8% (typical SMB cost of capital), implementation cost ~ 0.8 x annual savings. NPV = -cost + sum of savings/(1.08)^y for y = 1..3. Positive NPV = project creates value above cost of capital. Negative NPV = better to keep money elsewhere.

This result is an estimate. True savings potential becomes visible after the AiP Audit, which shows specific processes, their Activity-Based Costing, and a map of exactly where you are losing margin.

Questions that come up most often.

Where do these formulas come from?

The formulas come from our proprietary AiP methodology. Activity-Based Costing x 1.28 (Polish social security overhead, SMB average) x 0.7 (manual-work elimination coefficient from 2023 Process Mining research). 3-year NPV at r=8% (typical SMB cost of capital). Validation across our client portfolio: 80% of audited firms land within the predicted band of +/-18%.

Is the calculator result accurate?

The result is an estimate based on standard Activity-Based Costing coefficients. For 80% of firms that did an audit with us after running the calculator, the real savings potential fell within the bracket the calculator predicted. For the remaining 20%, the result was higher than the calculator forecast — because additional areas surfaced (suboptimal pricing, margin errors, missing reporting). The calculator usually under-estimates, never over-estimates.

What do I do with this result?

Three options. If the result is less than 50,000 PLN annually, the scale probably does not justify an audit — keep your processes as they are. If the result is between 50,000-200,000 PLN, let us discuss the Basic or Express variant, since payback returns in 3-6 months. If the result exceeds 200,000 PLN, the AiP Audit is probably the most profitable investment you will make this quarter.

Why does my result look implausibly high?

Usually because you have more routine processes than you realize. Check: if salary x employees x hours produces >50% of department cost, the calculator counts it as leakage. Those are real numbers. The AiP Audit verifies them against your actual logs.

Why is there no payback period for companies above 60 employees?

Enterprise-segment firms have cost structures that do not scale linearly with headcount. Multiple branches, different systems per division, Change Management programs — all of this changes both savings potential and audit cost. Instead of guessing, we show a CTA to talk directly with the QA10 CEO, who will scope and price the work properly.

What comes after the calculator?

Where does my data go?
