How we calculate // ABC + NPV methodology

An estimate, not a promise.

The calculator uses Activity-Based Costing. For each hour of work we assume full employee cost including employer taxes and supporting costs (×1.5 multiplier vs gross salary). We don't assume 100% automation of repetitive tasks; standard implementation effect is 60–90% of theoretical potential, hence the range in results.

Payback period is calculated for two AiP Audit variants (Express Start-up and Growth) based on published net prices. Enterprise is priced individually because real cost depends on branch count, integration complexity, and Change Management program.

  1. 01 · Full labor cost

    Gross salary × 1.28 (employer tax overhead) / 168 monthly hours = full hourly cost of labor. Without this multiplier the calculator would underestimate losses by ~28% — because you pay not just gross salary but also employer contributions, holidays, sick leave, benefits.

  2. 02 · Recovered hours per year

    Employees × weekly hours on routine × 48 work weeks × 0.7 (manual work elimination coefficient). 48 weeks not 52 — to account for holidays. 0.7 — because we don't eliminate 100% of routine, only its repetitive part.

  3. 03 · Savings from error elimination

    Monthly documents × 12 × error rate (%) = annual error count. × €35 (averaged single error handling cost — rework + downstream) × 0.7 (implementation effect). Conservative, because real error correction cost at the end of a process is often higher — especially in finance and compliance.

  4. 04 · 3-year NPV

    r = 8% (typical SME cost of capital), implementation cost ≈ 0.8 × annual savings. NPV = -cost + Σ savings/(1.08)^y for y = 1..3. Positive NPV = project creates value above cost of capital. Negative NPV = better to keep the money elsewhere.

This result is an estimate. The real savings potential becomes clear only after the AiP Audit, which maps specific processes, their Activity-Based Costing, and exactly where you're losing margin.

Questions that come up most often.

Where do these formulas come from?

The formulas come from our proprietary AiP methodology. Activity-Based Costing × 1.28 (employer tax overhead, PL average for SMEs) × 0.7 (manual work elimination coefficient from Process Mining 2023 studies). 3-year NPV with r=8% (typical SME cost of capital). Validated on our audit portfolio: 80% of audited companies land within the predicted range ±18%.

Is the calculator result accurate?

The result is an estimate based on standard Activity-Based Costing coefficients. For 80% of companies that did an audit with us after using the calculator, the real savings potential fell within the calculator's range. For the remaining 20%, the result was higher than predicted, because areas emerged that the calculator doesn't cover (suboptimal pricing, margin errors, missing reporting). The calculator typically underestimates, not overestimates.

What should I do with this result?

Three options. If the result is less than €12,000/year, the scale probably doesn't justify an audit — keep your processes as they are. If the result is €12,000–50,000, let's talk about the Basic or Express variant, because payback will return in 3–6 months. If the result exceeds €50,000, an AiP Audit is probably the most profitable investment you'll make this quarter.

Why does my result look unbelievably high?

Most often because you have more routine processes than you think. Check: if salary × employees × hours gives >50% of the department cost, the calculator counts that as leakage. That's real money. The AiP Audit verifies on your actual logs.

Why doesn't the calculator show payback period for companies above 60 employees?

Companies in the Enterprise segment have a cost structure that doesn't scale linearly with headcount. Multiple branches, different systems per office, Change Management programs — all of this changes both the savings potential and audit cost. Instead of guessing, we show a CTA to talk with the CEO, where we'll determine the real scope and pricing.

What happens after the calculator?

Does my data go anywhere?
