Make, Zapier, n8n and Power Automate — A Practical Selection Guide

Compare workflow platforms through integrations, licences, reliability, data handling and total cost. Choose using a representative process rather than a universal ranking.

Make, Zapier, n8n and Microsoft Power Automate can connect applications and coordinate repeatable work. The useful comparison is whether a platform supports the required operations, failure handling and operating model for your process.

This article provides a selection framework, not a current price list. Check the provider’s documentation and licence terms for the chosen plan, because names, limits and included features change.

Begin with the workflow

Write down the trigger, inputs, actions, approvals and exceptions. Identify which systems are involved and whether each exposes the operations you need. A connector bearing an application’s name may not support every feature of its API.

Record expected volume, peak activity, response-time needs and the consequences of failure. Include the people who will build, approve and maintain the workflow.

The four platforms

PlatformUseful area to evaluateQuestions to resolve
MakeVisual scenarios, branching and data transformationConnector coverage, usage accounting, error handling and operating limits
ZapierConnecting supported applications through triggers and actionsRequired actions, plan features, trigger behaviour and total task usage
n8nConfigurable workflows, technical extensions and self-hosting optionsLicence terms, operational responsibility, supported nodes and security
Power AutomateMicrosoft-oriented cloud workflows and desktop automationConnector licensing, environments, governance and attended or unattended use

The table identifies evaluation areas, not a universal ranking. A workflow that is straightforward in one platform may depend on a missing operation in another.

Make

Make uses a visual scenario model with modules and connections. Test how data is passed between modules and how branching, iteration and aggregation affect both behaviour and usage.

Evaluate what happens when a module fails or only part of a batch completes. Check the current plan’s limits and billing rules rather than assume that one workflow run corresponds to one billable unit.

Zapier

Zapier provides triggers and actions for supported applications. It can be useful to test a workflow quickly when the required operations are available through its connectors.

Check the difference between polling and event-driven triggers, how retries work and which steps count towards usage. A large connector catalogue does not establish that your particular integration is complete or that a workflow needs no maintenance.

n8n

n8n provides a visual workflow editor with options for technical customisation and self-hosting. It is source-available under licence terms that include the Sustainable Use Licence; it should not be described simply as unrestricted open-source software.

Assess the current licence for the intended use, especially if embedding, reselling or providing a service to others. Self-hosting adds responsibility for updates, credentials, access, backups, monitoring and recovery. It is not a zero-cost or unlimited-capacity operating model.

Power Automate

Power Automate supports cloud flows and desktop automation. Existing Microsoft services may make it relevant to the workflow, but an existing Microsoft 365 subscription does not automatically include every connector, AI feature or unattended automation requirement.

Check the specific licences, environment design, access policies and gateway needs. Desktop automation also requires attention to application changes, sessions and exception handling.

Compare total cost using one scenario

Estimate the same workflow on each candidate platform. Include normal executions, retries, loops, data transfers and growth assumptions. Billing units such as tasks, operations or executions are not interchangeable.

Add implementation, testing, training, credentials management and maintenance. For self-hosting, include infrastructure, backup and operational staff time. For managed services, include plan limits, additional services and contract requirements.

Do not infer a saving from subscription prices alone. The cheapest plan may omit an essential operation, and a technically flexible platform may require more specialist support.

Security and data handling

Map which data passes through the platform, connected applications, model providers and logs. EU hosting or self-hosting alone does not establish GDPR compliance or prevent external transfers.

Use least-privilege credentials, restrict who can modify workflows and define approval for sensitive actions. An AI step that prepares a draft should not automatically gain permission to send messages, change records or approve payments.

Test reliability before wider use

A representative test should include invalid inputs, duplicate events, expired credentials, rate limits and unavailable dependencies. Define whether a failed action can safely be retried.

Assign ownership of alerts and establish how to pause, repair or roll back a workflow. A successful manual test is not evidence that every unattended execution will succeed.

Migration and combined platforms

Moving a workflow involves more than copying its visible diagram. Check data mappings, authentication, timing, retries, error paths and the target system’s current state. Test for duplicate actions during changeover.

Using several platforms may be appropriate, but it adds boundaries to monitor and support. The benefit should justify that complexity rather than follow a rule based only on company size.

FAQ

Is Make better than Zapier?

That depends on the required workflow, supported operations, usability and total cost. Test the same representative process in each and include exception handling and ongoing support in the comparison.

Is n8n free for every use?

No general statement covers every use. Check the current licence and plan terms, including restrictions relevant to providing services to others. Self-hosting also carries infrastructure and operational costs.

Does Microsoft 365 include everything needed for Power Automate?

No. Included rights depend on the subscription and use. Premium connectors, AI capabilities and desktop or unattended automation can have separate requirements that must be checked for the proposed workflow.

Which platform is best for AI workflows?

Assess the required models, tools, permissions, review steps and monitoring. A platform’s AI branding does not establish the reliability or suitability of a particular workflow.

How long does migration take?

The schedule depends on workflow complexity, supported operations, data mappings, credentials and testing. Inventory the existing workflows and their exception paths before estimating the work.
